Work Orders

Greenhouse PM provides a basic framework for creating and interacting with Work Orders. A Work Order can be any task that needs to be performed on a unit, such as maintenance, repairs, or upgrades.

A Work Order can either be created by clicking Work Orders from the Unit Profile, or by going to the Work Orders module*. The only difference is that creating a work order from the Unit Profile will default the Work Order to that unit, and creating a work order from the Work Order module will require you to select the affected unit.

When a Work Order is created, the assignee will receive a Notification that they have been assigned a new Work Order and will be able to click through to view the Work Order details. If there is only one user configured with your Greenhouse PM account, then that user will automatically be assigned any new Work Orders.

From the Work Order Profile, you can easily record Notes and Activities. The main difference is that a Note is a generic piece of information regarding this particular Work Order (ex. "Tenant says faucet leak started a few days ago"), and an Activity is any action that has been taken in regards to this Work Order (ex. "Inspected a leaky faucet to determine parts required for replacement").

Any expenses incurred regarding a work order can be logged either from the Unit Profile, the Lease Profile, the Vendor Profile, or the generic Expense Form in the Accounting Module. Use your best judgement to determine with which interface to log the expense, as different interfaces will default certain values for you. For example, if a Work Order is resolved while the Unit is leased, using the Lease Profile interface will automatically default the Unit and Lease for the expense transaction.

*Any users that you have configured with the Maintenance Role will automatically be redirected to the Work Orders module when they log-in.
